# New Scheduler

Configure a **New Scheduler** to automate your workflows based on specific time conditions. Define the schedule, set triggers, and ensure tasks are executed automatically and efficiently without manual intervention.

Steps to configure and view Automation Scheduler are as follows:

1. Configure the Workflow
2. Configure the Scheduler
3. View Job History/ Execution History

#### **1.** Configure the Workflow

Workflow is a combination of one or more tasks executed in a specific order on a Configuration Item (CI) to achieve a particular service to a customer team or individual. In Workflow, conditions are defined. If this condition is met, the defined skills are executed. This does not require any manual intervention. Using drag and drop, you can add a skill or Condition to the Workflow.

#### **2.** Configure the Scheduler

In this step, you can configure new schedulers for the desired workflows. The New Scheduler feature consists of three important sections namely:

- General
- Frequency
- Actions

To configure a new scheduler, perform the following steps:

1. Navigate to **SA** > **Schedulers** > **New Scheduler**.
2. In the **General** tab, specify the **Name** (which is a mandatory field) and **Description**. Enable the **Active** toggle switch to make the status of the scheduler as Active or vice-versa.

## Frequency

The **Scheduler – Frequency** page allows administrators to define **when and how often** an automated workflow should run. This page is part of the scheduler setup flow and focuses specifically on configuring the **execution timing** for automation jobs.

Purpose of this step is listed below:

- Control the **execution schedule** of automated workflows
- Specify whether a workflow runs **once** or on a **recurring basis**
- Ensure automation runs at the correct **date, time, and timezone**

**Field Description**

| Field | **Description** |
| --- | --- |
| Scheduler Type | Determines the execution mode of the workflow: • **One Time** – Runs the workflow once at the specified date and time. • **Recurring** – Runs the workflow repeatedly based on a defined schedule. |
| Start Date | Specifies the calendar date on which the scheduler begins execution. This field is mandatory for all scheduler types. |
| Start Time | Defines the exact time at which the workflow execution starts. Ensures precise control over automation timing. |
| Timezone | Sets the timezone used for scheduler execution, ensuring workflows run at the correct local time across regions. |
| Next | Saves the frequency configuration and proceeds to the **Actions** step of scheduler setup. |
| Previous | Returns to the previous configuration step without losing entered data. |
| Cancel | Exits scheduler configuration and discards any unsaved changes. |
| Typical Usage | Used by administrators to schedule workflows during business hours, off‑peak times, or at specific dates for time‑sensitive automation. |

### Schedule Type: One Time

1. Select the **One Time** checkbox and specify the **Start Date** and **Start Time** of the scheduler.
2. Select Timezone from the dropdown.
3. Click **Next**.

### Schedule Type: Recurring

Recurring type is applicable for Daily, Weekly and Monthly cycles.

#### Daily

**Daily mode supports two run patterns**: One Time per day or After Every (fixed interval).

Below table covers **After Every** scenarios as requested.

| Daily | After Every | Never | Every (1, 2, 3, …), Time (minutes), Start Date, Start Time, End Time, Timezone | Workflow runs repeatedly at the configured interval every day and continues indefinitely until manually stopped. |
| Daily | After Every | Date | Every (1, 2, 3, …), Time (minutes), Start Date, Start Time, End Time, Timezone, End Date | Workflow runs at the defined daily interval and automatically stops execution on the specified end date. |
| Daily | After Every | After | Every (1, 2, 3, …), Time (minutes), Start Date, Start Time, End Time, Timezone, Number of Recurrences | Workflow runs repeatedly at the daily interval and stops after completing the specified number of executions. |

#### Weekly

When **Weekly** is selected, the **“Schedule on These Days”** field is automatically displayed.

| Weekly | Never | Start Date, Start Time, Timezone, Schedule on These Days | Workflow runs weekly on the selected weekdays and continues indefinitely. |
| Weekly | Date | Start Date, Start Time, Timezone, Schedule on These Days, End Date | Workflow runs on selected weekdays and automatically stops on the specified end date. |
| Weekly | After | Start Date, Start Time, Timezone, Schedule on These Days, Number of Recurrences | Workflow runs on selected weekdays and stops after the configured number of executions. |

#### Monthly

Monthly scheduling allows selection of both **date** and **month**.

| Monthly | Never | Start Date, Start Time, Timezone, Select Date, Select Month | Workflow executes on the selected date every chosen month and continues indefinitely. |
| Monthly | Date | Start Date, Start Time, Timezone, Select Date, Select Month, End Date | Workflow runs monthly and automatically stops on the defined end date. |
| Monthly | After | Start Date, Start Time, Timezone, Select Date, Select Month, Number of Recurrences | Workflow runs for a fixed number of monthly executions and stops automatically. |

✅ **Key System Rules (Applies to All Scenarios)**

- Only **one frequency** (Daily / Weekly / Monthly) can be selected
- Only **one End Type** (Never / Date / After) is allowed
- **End Date** and **Number of Recurrences** are mutually exclusive
- Field visibility dynamically changes based on selected frequency and end type

## Action

In the **Actions** tab, configure the action for the scheduler.

2. The mapped **Parameter** is displayed.
3. Enter the relevant value in the box.
4. Click **SUBMIT**.

The Scheduler is created successfully, and you are directed to the List page.

> - The workflows that must be triggered by the scheduler are defined here under **Actions**.
> - Only workflows with **API/Scheduler** configured as the trigger event are displayed under **Scheduler Actions**.
