Access mapping for report designer entails setting up roles and permissions to manage who can create, edit, and view reports in Apex platform. According to their positions and responsibilities inside the organization, users or groups are usually assigned particular privileges as part of this procedure. In addition to preserving data security and integrity, access mapping ensures that only authorized users may view sensitive information, create reports, and carry out associated duties. Organizations may create and manage reports and dashboards efficiently, protecting sensitive data and staying in compliance with legal requirements by clearly defining access limits and permissions.

Access mapping for reports and dashboards consists of the following steps:

General

The General stepper allows you to define the details of the access mapping to reports and dashboards. You can mention the name of the domain, sub-domain and select the reports and dashboards to define access mapping.

To configure access mapping, perform the following steps:

  1. Navigate to Design Studio > Module.

  2. From the drop-down select the Module for the access mapping that has to be configured.

  3. Select the Access Mapping option under Report Designer.
    The list of Access Mappings configured is displayed.

  4. Click New to add new access mapping.

  5. On the General tab, enter all the mandatory details. To know more about the fields, see the field description.

Field Description

The table below contains the list of fields and their descriptions available on the General tab.

Field

Description

Name

Specify a unique name for the access mapping for reports and dashboards.

Description

Specify a brief description for the access mapping.

Domain

Select the desired domain for the access mapping to be configured.

Sub Domain

Select the desired domain for the access mapping to be configured.

Mapping Status

Enable this option to activate access mapping for the selected domain and subdomain.

Dashboards

Click Dashboards if you wish to configure access mapping for dashboards.
Select the required dashboards from the dropdown.

Reports

Click Reports if you wish to configure access mapping for reports.
Select the required reports from the dropdown.

Define Access

The define access tab allows you to choose filter sets to restrict the access mapping for the selected reports and dashboards. It allows you to add multiple filter sets to allow access to users for reports and dashboards.

The define access tab is displayed below.

  1. Click Add Filter Set to add new filters.

  • Field - Choose the field from the dropdown list to which the condition applies.

    • Location: Allows to define access mapping to users and user groups from specific locations.

    • Workgroup: Allows to define access mapping to specific workgroups.

    • Tenant: Allows to define access mapping to specific tenants. 

  • Operator - Select the appropriate operator from the dropdown list, which varies based on the selected field type.

  • Value - Define the value for the chosen field, determining when the condition should be triggered.

  • Use   icon to add more conditions.

  • Use icon to delete conditions.

Click Next to move to the publish option.

Publish

The publish tab allows you to publish the access mapping to specific users, user groups, or roles for reports and dashboards. The access can be provided or restricted to a certain set of users.

Click Add Filter Set to add new filters.

  • Field - Choose the field from the dropdown list to which the condition applies.

    • Username: Allows to publish the access mapping for specific usernames.

    • User groups: Allows to publish the access mapping for specific user groups such as HR groups, admin groups, business heads, etc.

    • Roles: Allows to publish the access mapping for specific roles such as analyst, admins, super admins, etc.

       

  • Operator - Select the appropriate operator from the dropdown list, which varies based on the selected field type.

  • Value - Define the value for the chosen field, determining when the condition should be triggered.

  • Use   icon to add more conditions.

  • Use icon to delete conditions.

Click Submit to save the access mapping.
