Article summary

Add a new Fixed Asset

You can add Fixed Assets to provide a structured and organized approach to managing them within the organization.

To add/create a new asset, perform the following steps:

  1. Navigate to Asset Management > Manage Asset > Fixed. The Fixed Asset List page is displayed. Click New to create a new asset.

  2. Upon clicking New, the following options are displayed:

    Start From Scratch: A completely new (empty) form with all the required fields is displayed. Choose this option to create a new record from scratch.

    Use Templates: Select this option to fill the form using pre-saved templates.
    Select the desired template from the Import Template pop-up, which appears when you click Use Templates, then click Apply.

  3. On the Fixed Asset form, enter all the required details in respective fields and click Save to create a new record. For more information on field values, refer to the below segments.

Top Panel

Top Panel consists of following fields:

Field

Description

Asset Code

Asset Code is a unique alphanumeric identification value for an asset added to the asset inventory. As its a new page, this field will be empty.

Asset Status

Asset Status is displayed as In Store when the asset is added to the inventory.

Import Template

Import a saved template to autofill the saved values from the template and create a new record.

General

The General tab includes essential details for creating a new asset, such as Department, Category, Serial Number, and Hostname.

Department

Select the required Department under which you wish to add a new asset.

Serial Number

Enter the unique Serial Number for the asset to be created.

Category

Select the required fixed asset category from the list.

Hostname

Enter the required Hostname value.

Asset Information

The Asset Information section consists of three tabs that collect various details:

  1. General Details

  2. Hardware Specifications

  3. Others

General Details

General Details tab consists of the following fields:

Field

Description

Location

Select the required Location to which you wish to add the asset.

For more information on Asset Locations, refer to AM Location Master - Overview.

Asset Type

Select Fixed Asset from the Asset Type drop-down.

For more information on Asset Type configuration, refer to Asset Type.

Note

Since this is the Fixed Asset creation page, the Asset Type drop-down will only include Fixed Asset option.

Make

Select the required Make (Brand Name) from the drop-down.

For example- Dell, Lenovo, HP, Apple etc.

Manufacturer

Select the required Manufacturer from the drop-down.

For example- Cisco, IBM, HP, Canon etc.

IP Address

Enter the IP Address.

Model

Enter the specific version, type of the asset or Model name.

For example,

  • Laptops - ThinkPad E14 Gen 2, Latitude 7400 etc.

  • Desktops - Dell OptiPlex 7070, HP EliteDesk 800 G5 etc.

  • Servers - Dell PowerEdge R740, HPE ProLiant DL380 Gen10 etc.

Hardware Specifications

Hardware Specifications tab consists of the following fields:

RAM Size

Choose the RAM Size from available options: 8GB, 16GB, or 32GB.

HDD Size

Choose the HDD Size from available options: 1TB, 2TB, 256TB, 512TB.

RAM Quantity

Choose the RAM Quantity from available options: 1 and 2.

HDD Quantity

Choose the HDD Quantity from available options: 1 and 2.

Attachment

Attach any required files as needed.

Others

Others tab consists of the following fields:

Operating System

Choose the Operating System from available options: Linux, Windows 10, Windows 11, MacOS.

Operating System Version

Choose the required Operating System Version from the drop-down.

Asset Remarks

Provide any relevant remarks or details about the asset.

Data Input Source

Choose the Data Input Source from available options: Manual Entry, Excel Import, and Discovery - Based.

Asset Register

Asset Register captures information about all hardware, software, and network devices owned or managed by an organization throughout their lifecycle.

Note

Asset Register tab displays data upon the selection of Asset Category selected. The options displayed here vary based on the type of Asset Category selected.

Let's explore two examples to understand how the Asset Register tab presents distinct data for each selected category.

Tools and Hardware

Tools and Hardware Category consists of following fields:

Types of Tool/Hardware

Choose the Types of Tool/Hardware from available options: Cutting Tools, Hand Tools, Hinges, Measuring Tools, Nuts and Bolts, and Power Tools.

Tools/Hardware options

Hammer, Screwdriver, Pilers, Power Saw, Power Router, Bolt Cutter, Hacksaw, Ruler, Caliper, Carriage Bolts, Lag Bolts, Concealed Hinges, Continuous Hinges.

Laptop

Laptop Category consists of following fields:

Battery Replacement Date

Select the required Laptop Battery Replacement Date from the calendar.

Screen Type

Choose the Screen Type from available options: 2K, 4K, Full HD, and HD.

Links

Relationship

Link any records with the asset which is to be created. Choose any records from available options: Service Requests, Change, Problem, CMDB, Incidents, or Contracts.

When the link pop-up is displayed, select the required record checkbox(s) and click Link button.

Financials

Financials tab captures asset purchase details that help facilitate budgeting and financial planning.

Purchase Order

Purchase Order consists of following fields:

Contract Type

Choose the Contract Type from available options: AMC (Annual Maintenance Contract) and Fixed Price Contract.

Base Cost

Enter the Base Cost in the field.

PO Date

Select the PO Date from the calendar.

PO Number

Enter the PO Number in the field.

Cost Center

Choose the Cost Center from available options: Development, Finance, IT, Implementation, and QA.

Asset Cost

Enter the Asset Cost in the field.

Issue Log

Issue Log tab helps in tracking and managing problems related to assets. This tab includes fields to capture problems, proposed solutions, and the causes of these problems. The data entered in these fields is stored in a list for easy reference and management.

Diagnostic

Diagnostic consists of following fields:

The following table provides details about fields:

Field

Description

Problem

Enter a detailed description of the problem encountered with the asset.

Example: Asset not depreciating correctly.

Proposed Solution

Provide the solution proposed to resolve the identified problem.

Example: Adjust depreciation method to straight-line.

Cause

Explain the root cause of the problem.

Example: Incorrect initial setup of depreciation method.

Add

Click Add to add and update the entered details. You can add multiple entries.

List

All entries made in the Diagnostic tab are captured in the list segment. This provides a consolidated view of all issues, proposed solutions, and causes.

You can edit/make changes in the entries or delete the whole entry through Actions option.

Displays a detailed log of all changes made within the Issue Log.

Communication

The Communication tab contains two sections:

  1. User Communication

This section enables the End User and Analyst to communicate with one another, facilitating updates and management of communication related to the asset. Any updates made here will be recorded and visible to the Analyst.

Note

The User Communication tab is most relevant when an asset is allocated to a user.

  1. Private Log

This section stores internal communication and notes across all asset lifecycle statuses, accessible only to Analysts for tracking and record-keeping purposes.

When the end user updates the communication in the User Communication section, the changes will be reflected in the asset records under the Asset page, within the Communication tab, where Analysts can review and response to the communication.

Note

The Communication tab will be available under the following scenarios:

  • End Users - This tab will be available when the asset is in Allocated status.

  • Analysts - This tab will be visible for all asset lifecycle statuses.

This data will be available when the asset is in Allocated status.

Timeline

This field displays a chronological sequence of events or actions related to an asset, purchase order, ticket, or any other relevant entity being changed in the lifecycle of this asset. It also indicates the user responsible for the changes, along with the corresponding date and time.

Note

This information appears when any changes/updates are made to an already saved asset record.

More Information section covers other asset information.

More Information section covers the details of action-related attributes for each specific asset lifecycle status.

Note

Asset Condition field will be displayed for all asset lifecycle statuses, as it is a crucial detail that helps in decision-making throughout the asset lifecycle.
