Knowledge Record List

You can view the list of Knowledge Records (KRs) available in the application as per your access. This page allows you to browse, search, and filter knowledge articles by category, status, date, and other attributes.

It provides a single, organized view of all Knowledge Records, making it easy for users to find the content they need.

Knowledge Record List

To view Knowledge Record list, perform the following steps:

  1. Click Knowledge > User > Knowledge Record List. The Knowledge Record List page is displayed.

  2. On the Knowledge Record List page, you can view the list of KRs.

  3. Select the KB ID of the KR that you want to view. The KNOWLEDGE RECORD ID page is displayed with all the details about the KR. For information about the fields and icons on the KNOWLEDGE RECORD ID page, see Adding Knowledge Base Records (KRs).

    Note

    You can modify the KR only if you have access to modify the KR. Also, a Change Record (CR) should be raised to make any changes to a KR.

ACTIONS

This section explains all the icons on the ACTIONS panel of the KNOWLEDGE RECORD LIST page.

Filters

Click Filters to specify a particular filter criteria to display the KRs as per the specified filter criteria. On clicking the Filters icon, the FILTERS pop-up page is displayed. The following table describes the fields on the FILTERS page:

Field Description

The following table describes the fields on the FILTERS pop-up.

Field

Description

Department

Select the required Department from the list. Filtering by the Tenant field allows users to view only those Knowledge Records that belong to a specific Department.

This is essential in multi-tenant environments to ensure data privacy, relevance, and access control.

For Example: Information and Technology, Human Resources. 

KB ID

Type in the KB ID range in the From and To text boxes.

Status

Select the status of the KR from the list.

Life Cycle Status

Specifies the current stage of the Knowledge Record within its lifecycle.

Category

Specify the category to display all related Knowledge Records. This helps group similar articles for efficient navigation and retrieval.

Classification

Select the Classification from the list.

From Date

The start date for filtering or displaying Knowledge Records within a specific time range.

To Date

The end date for filtering or displaying Knowledge Records within a specific time range.

Search Text

Type in the text to search for in the KRs.

Include Inactive

Select the check box to also include the inactive KRs meeting the search criteria.

Add New

Click Add New or  icon to add a new KR. For more information about adding new KRs, see Adding Knowledge Base Records (KRs).

Configure Column

Click Configure Columns or icon to customize the columns on the page. For more information, see Personalizing Pages of SymphonyAI Platform.

Note

To View Knowledge Record Owner Detail on the KNOWLEDGE RECORD LIST page:

  1. Click Configure Columns or   icon on the ACTIONS panel. The CONFIGURE COLUMNS pop-up page is displayed.

  2. Select the Page Name and the Display Type from the respective list.

  3. Select the Owner from the Available Columns list and click the Right Arrow to move it to the Selected Columns list.

  4. Click SUBMIT.
