Change Rule Templates are Change Records(s) with pre-filled values. While creating a CR, after filling in values for the CR, the CR can be saved as a Template. This Template can be used by other users while creating similar CRs without the need to fill in all the values.

NovaTech has decided to upgrade its outdated inventory management system to a modern, cloud-based software solution to improve efficiency, accuracy, and scalability. The change involves migrating data, training employees, and integrating the new system with existing processes.

For this scenario, a change template tailored to managing system upgrades or implementations can be created by the analyst, Adam. This type of template is commonly known as an "IT System Change Template" or "Technology Change Template." It encompasses various aspects of implementing new software systems or upgrading existing ones, including the migration of data, training of employees, and integration with existing processes.

By following the Change Rule Template, the company can ensure a structured and organized approach to implementing the new software system, mitigating risks, and maximizing the chances of a successful transition with minimal disruptions to operations.

To log a new Change Record and save it as a Template, perform the following steps:

  1. Navigate to Analyst Dashboard.
  2. Click Change > Manage Change > Manage Change Requests.
  3. The list page of all the logged Change Records is displayed.
  4. Click New to log a new Change Record. The New Change Record page is displayed.
  5. Search and select the status from the list. The status indicates the stage at which a Change Record is in its life cycle, for example, Requested, Approved, Testing, Implemented, and so on.
  6. Fill in the mandatory information in the different fields in the New Change Record page. For more information about creating a New Change Record, refer to New Change Record.
    After entering the details and logging a new CR, if the following conditions are met, then the CR is automatically saved as a Standard Template once you click Save:
  • Change Type: Normal
  • Category: Small
  • Status: Implemented
  • Propose for Standard Change: Enabled

These Standard Templates will appear in the pop-up window while you are logging a new CR and have selected the Change Type as Standard.

Import Template

When you click the Import Template icon present on the top ribbon on the New Change Record Page, a pop-up window will display all the Change Templates. You can select the Change Template as per the requirement. Click Apply to use the template. All the fields in the new Change Request form will be auto-populated as per the selected template. Click Cancel to exit the process without selecting any Change Template.
