The convert utility with the Form Designer is a versatile tool designed to streamline the process of converting one type of record with the application or across applications, enabling efficient improved collaboration, greater flexibility, and enhanced productivity.
For example, converting an Incident to a Change Record or a Task to a Work Order.

Configure Convert Utility
To configure the convert utility, perform the following steps.
1. Drag and drop Convert action to Quick Actions/Other Actions.

2. Click the icon on Convert and the following options are displayed.

8. Click Configuration and the following page is displayed.

Configuration
Configuration of the Convert utility is stepper based, the following are the steppers to configure the Convert utility.
- General - All the mandatory generic properties of the utility is defined here.
- Form Relationship - Select the form relationship to convert the source record to the target form.
General
The General properties of Convert utility has the following fields. For more information on the fields, refer to the table below.

Label | Provide a unique name for the action button that users can click to open the linked sub form. For example, on a Manage Incident form, the conversion utility could be labeled 'Convert to SR' or 'Convert to Problem' etc. depending on the configuration. |
Icon | Select an appropriate icon for the Convert action from the icon list. The icon gets displayed on upon clicking and the convert action will be initiated. |
Icon Position | Specify whether the icon should be displayed to the left or right of the label. |
Informative | |
Tooltip | Enter a Tool tip, a small pop-up message explaining the field when hovered over. |
Choose Form Relationship: Select the form relationship to convert the source record to the target form. This relationship enables the system to automatically populate target form field values based on the established relationship between the source and target forms through the Form Relationship component.

Configure Relation
The Configure Relation of Convert has the following fields. For more information on the fields, refer to the table below.

Field | Description |

Application | Select the target application for converting the current form. For example, options could include Service Management, Asset Management, or Customer Relationship Management. |
Module | Choose the target module for converting the current form. All active modules under the selected application will be listed. For example, if Service Management is chosen, options like Incident, Service Request, Change, Problem, Knowledge, and Call will be displayed. |
Form | Select the target form to which you want to convert the current form. All published main forms applicable to the current form's role type under the selected module will be shown. For example, if the conversion utility is being configured on the Manage Incident form published to the Fulfiller persona, selecting the Service Request module will display the Manage Service Request form published to the Fulfiller persona. |
Form Relation | Choose a list of previously created form relations between the source and target forms. If no active form relation exists, the application designer can click on the +Add Relation button to create a new one. Once a new Relation is created, App designer can come back to the current configuration screen, click on the refresh button to load the newly created relation. |
The refresh button can be used when a new relation is added and needs to be incorporated in the drop-down. | |
Alias Name | Optionally provide an alias name for the conversion action. This user-friendly name can be easily understood by end-users. If no alias name is given, the form name will be displayed. Refer the image below for an understanding from the customer perspective. |
9. Click Submit to successfully save the configuration and return to the Action configure property window.
Once the configuration is successful, configured actions is represented with green check icon.
Rename
Avoid opening the configuration properties to rename the utility. Instead, use the readily available rename option displayed upon clicking the vertical ellipsis icon. To Rename a convert utility, perform the following steps:
1. Click vertical ellipsis icon.

2. Select Rename.
3. Enter a new Name and click outside window to apply the name effect.

Remove from action
A convert utility can be removed from the action bucket (quick or other) by clicking on the Remove from Actions option that is displayed upon clicking on the vertical ellipsis icon. To Remove a convert utility, perform the following steps:
1. Click vertical ellipsis and select Remove from Action.

2. Click Save on the Actions configure properties window to apply the configuration changes or click Cancel to discard any changes.
