FieldDescription
Workflow Name *Enter the workflow name for which a new workflow is being created. Ensure that the entered workflow name is unique and does not have any duplicates. You can enter a maximum of 200 characters.
Type *Select the type of workflows. The options available are:
  • Core Flow - The Core Flow refers to a comprehensive workflow system that activates in response to a predetermined sequence of configured tasks. It encompasses the entire workflow process from start to finish, and its execution is contingent on the specific order in which these predefined tasks are arranged and triggered.

For Example: In a software development project, Core Flow might include tasks such as requirements gathering, design, coding, testing, and deployment. These tasks must occur in a specific order to ensure the project's success. If any of these tasks are not executed in the correct sequence, it could lead to errors or delays in the project.

  • Sub Flow - The Sub Flows are the smaller and specialized workflows that are part of Core Flow to break down complex activities into manageable components to improvise efficiency. The initiation of Sub Flows are dependent on another process or trigger. For more information, refer to Sub Flow.
DescriptionEnter the workflow description to describe the exact purpose of creating a workflow. You can enter a maximum of 2000 characters.
Execution Order *Specify the number of execution orders. The sequence of workflow execution is determined by the assigned execution order number.
  • When multiple workflows have different order numbers, the one with the highest order number takes precedence.
  • When workflows have the same order number, the system prioritizes based on the time they were created, starting with the latest.
Domains *By default, the name of the domain for which the workflow is been configured is displayed.
Sub Domain *By default, the sub domain name is associated with the selected domain is displayed.
Tenant *By default, the name of the tenant configured for the selected domain and sub domain is displayed.
Table *The forms (main form or sub form) created in the Form Designer required to create a workflow is displayed in the list.
ActiveBy default, the Active switch is turned on which indicates that this workflow is active.
Notes
  • Only active workflows can be published.

  • A confirmation message is displayed attempting to deactivate an active workflow ‘You cannot deactivate a published workflow. Please change its status to ‘Maintenance’ or ‘Retired’ to deactivate the workflow.’ Click OK to close the pop-up, allows you to proceed to the 5th step to update the workflow status.
Notes
  • When users create or update a workflow, the system must ensure new records follow the latest version, without affecting existing ones.

  • An asterisk (*) represents mandatory field.

Set Trigger & Conditions

The Set Triger & Conditions section enables you to set the Trigger event and Condition based on which the workflow is executed. For more information, refer to Set Trigger & Conditions.

Design Workflow

Automates your business workflow by simple drag and drop of the components and without any coding expertise to eliminate manual work and errors. For more information, refer to Workflow Canvas Layout.

Summary

The summary provides a brief overview of the crucial configuration details, inviting further exploration into the comprehensive information. For more information, refer to Summary.

Publish

Once the workflow configuration is finalized, the subsequent step involves publishing it, thereby ensuring accessibility and readiness for use by the end user. For more information, refer to Publish.
