This segment covers details about all the actions that are common across all asset lifecycle statuses.

Workflow Timeline

The Workflow Timeline tab is activated during various asset lifecycle actions, such as Allocation, Deallocation, Repair, and Movement. This workflow ensures that all necessary approvals are obtained before completing these actions.

Workflows are used to configure approvals for different asset lifecycle actions. It provides a visual representation of the approval process in the workflow view. This ensures clarity and understanding of the required steps.

Note

These workflows are configured in Workflow Designer under Design Studio. For more information on Workflow Designer, refer to Workflow Designer Overview.

  1. Click the Workflow Timeline tab to view the workflow information.

  2. Click to view the workflow diagram in detail.

  3. Workflow details can be viewed in two different formats:

    * Grid View

    * List View

Send Email

Automate the process of sending asset details through email, ensuring that the end user can easily access the asset information.

  1. Click the kebab menu on the asset details page to select Send Email option.

  2. On the Send Email pop-up, enter all the required details and click Submit. For more information on fields, refer Field Description.

Field Description

The following table provides details about fields:

Recipients Selection

To

Select the required choice from available options: Users, Custom Email IDs.

Users

This option allows you to select specific recipient (user) from the available user list. You can select multiple users.

Custom Email IDs

This option allows you to enter specific custom email IDs. You can enter multiple IDs.

Cc

Select the required choice from available options: Users, Custom Email IDs.

Users

This option allows you to select specific recipient (user) from the available user list. You can select multiple users.

Custom Email IDs

This option allows you to enter specific custom email IDs. You can enter multiple IDs.

Notification Template Selection

Notification Template

Choose the desired Notification Template from the list of templates configured in the Notification Designer.

Subject

Subject refers to the email subject of the notification. It is auto populated when the notification template is selected.

Body

Body contains main content of the notification. It is auto populated when the notification template is selected.

Remote Asset Control 

Remote Asset Control involves monitoring and managing assets remotely. This approach streamlines operations by minimizing the need for physical presence on-site, optimizing efficiency from anywhere. This feature enables the support team to easily control end-user systems for seamless access with enhanced security.

  1. Click the kebab menu on the asset details page to select Remote Asset Control option.

  2. On the Remote Asset Control pop-up, enter all the required details and click Save. For more information on fields, refer Field Description.

Field Description

The following table provides details about fields:

Field

Description

Communication Channel

Choose the Communication Channel or access through which the connection can be established.

Note

Available communication channel option is Microsoft Teams.

Analyst Email

Select the required Analyst’s email from the drop-down.

Username

Select the required Username from the drop-down.

Reason for request

Enter a brief information explaining the reason for connection request.

Create Template

Create Template option allows you to input specific values on a new form or configuration page. Upon clicking Save, it stores the entered data as reusable template. Enter all the required data on the new configuration page and click Create Template option.

Let's learn how to create a template for the 'Laptop' category in a particular store. Follow along with the gif below to understand the process.

Import Template

Import Template option allows you to import any saved template into the new configuration page. This helps in easy import of pre-defined data and saves time from repetitive manual input.

  1. Click the kebab menu on the asset details page to select the Import Template option.

  2. Import Template pop-up displays the list of created templates. Select the required template checkbox and click Apply to apply the template on the new asset record page.

Print Barcode

Barcode labels can be printed for each asset that is added to the Asset Inventory including deactivated Assets. Each barcode is unique so this is useful in identifying the assets. Apex application supports ISBN barcode and QR Code types. Barcode labels can be configured separately based on the Stores and the Asset Categories.

To print asset barcode, perform the following steps:

  1. Click the kebab menu on the asset details page to select Print Barcode option.

  2. Click Print to take a physical printout of the barcode details through printer or store in PDF format.

Discovery Information

Discovery Information provides details about Hardware and Software Discovery for the selected asset.

Hardware Details tab provides details about the hardware discovered on the asset. Software Details tab provides the list of software installed on the particular asset including information about publisher and installation date.

  1. Click the kebab menu on the asset details page to select Discovery Information option.
