View

You can view the list of configured Fixed Assets using the following options:

To view the list of configured assets and view any specific record, perform the following steps:

  1. Navigate to Asset Management > Select the role as ITAM Analyst.

  2. Select Asset Management > Manage Asset > Fixed.
    The Fixed Asset List page is displayed.

  3. Click  icon to view the details of the configured Fixed Asset.

  4. The Fixed Asset summary page is displayed. Click Cancel to close the summary page and return to List page.

  5. Click   icon to view the Fixed Asset details in a new tab or a new window.

  6. The Fixed Asset details page is displayed. Click Reset to clear all the field details. Click Cancel to exit the process and go back to the list page without making any changes. Click Save to save the updated information on this details page.

  7.  The Fixed Asset List page offers a comprehensive overview of configured assets, presenting key details about each asset.

Explore the significance of displayed fields through the following Field Description table.

Field Description

This table contains the list of fields and their descriptions that are displayed on Fixed Asset List page:

Field

Description

Asset Code

Asset Code serves as a unique identifier for each Fixed Asset in the inventory. Clicking the Asset Code hyperlink reveals detailed information about the corresponding Fixed Asset.

Status

Status field indicates the current status of configured Fixed Assets, such as 'Allocated', 'In Store', 'Inactive', 'In Repair', or 'In Transit'.

Asset Condition

Asset Condition reflects the present state of Fixed Assets, including descriptors like 'Faulty', 'Good', or 'Scrap'."

Tenant

Tenant field identifies the specific tenant or department to which the configured Fixed Asset belongs.

Serial Number

Asset serial number is a unique identifier assigned to an individual asset to distinguish it from other similar assets within an organization.
The list displays the Serial Numbers of each configured Fixed Asset.

Hostname

Hostname refers to the unique label assigned to a device connected to a network.
The list displays the Hostname of each configured Fixed Asset.

IP Address

IP Address details are displayed.

Make

Make refers to the brand of the asset. This field displays the Make details of the configured Fixed Asset.

Model

Model refers to the specific product of model name of the hardware or software asset. This field displays the Model details of the configured Fixed Asset.

Operating System

Operating System (OS) of an asset refers to the software that manages computer hardware and provides a platform for running applications. This field displays the OS details of the configured Fixed Asset.

Operating System Version

Operating system version of an asset refers to the specific release or iteration of the operating system software installed on the device. This field displays the OS Version details of the configured Fixed Asset.

Initial Entry Source

This field indicates how the asset was added or imported, distinguishing between Manual Import or Discovery process.

Created On

Created on denotes the date when the asset was initially configured or created.

Updated On

Updated on denotes the date when the asset was last updated or edited.

List and Summary View

Asset List page offers two distinct views to help users manage and track assets efficiently: List and Summary View.

List View: This view provides a detailed, column-based layout, displaying key asset information. For example, fields such as asset codes, statuses, asset conditions, serial numbers, etc are displayed. It allows users to see granular details for each asset, making it ideal for tasks requiring precise data, such as audits or troubleshooting.

Summary View: This view highlights broader asset lifecycle statuses, focusing on asset categories and tenants. It features quick-access columns for asset lifecycle statuses like "In Store," "Allocated," "In Transit," and "Inactive," helping users get a high-level overview of how assets are distributed or managed.

Note

The columns displayed here can be configured on the transaction form under the Form Designer.

Transaction Form

Filters

You have the provision to apply filters on all of the columns or an individual column. This functionality allows you to control the exclusion or inclusion of specific data as per your requirement. You can focus on the required data for better analysis. You can apply filters on individual columns as well as per your requirements.

To apply filters on individual columns, perform the following steps:

  1. On the list page, click the filter associated with the individual column to sort the details in the column as per the requirement.

  2.  Specify the filter criteria based on your requirements.

  3. Click the Filter icon to view the following filter options. Select the Match All or Match Any option from the list to filter the data based on the condition selected. The Match All option is selected, by default.

  4. Select the option to compare the data based on the conditions. Available options are as follows:

    • Starts With

    • Contains

    • Not contains

    • Ends with

    • Equals

    • Not equals

    • Less than

    • Less than or equal to

    • Greater than

    • Greater than or equal to

    • Date is 

    • Date is not

    • Date is before

    • Date is after

    • Active

    • Not Active

      Note

      The following filter options are available for numeric column values:

      • Less than

      • Less than or equal to

      • Greater than

      • Greater than or equal to

      The following filter options are available for date column values:

      • Date is 

      • Date is not

      • Date is before

      • Date is after

      The following filter options are available for the Active toggle switch:

      • Active

      • Not Active 

  5. You can click Clear to clear the configured filter and click Apply to set the filter conditions.

  6. You have the flexibility to customize the appearance and order of columns on the List page by simply clicking the  Show Columns icon.

  7. You can easily change the order of columns by dragging them up or down as needed.

  8. Customize the columns to be displayed on the List page by selecting or deselecting them using the checkboxes.

  9. Click Save to save the new view of columns. Click Cancel to revert all the changes made and close the pop-up. Click Clear All to remove all the applied column view settings.

Search

Search function enables you to search the configured Accessories. In the search field, enter the specific Asset Code, Make, Model or any other details of the Fixed Asset that you want to search. The application displays all the records that match the inputs.

Click (close icon) to clear the entered searched criteria.

Edit

Edit option allows you to modify the details of a configured Fixed Asset according to your specific requirements.

To edit a configured Fixed Asset, perform the following steps:

  1. Navigate to Asset Management > Manage Asset > Fixed.
    The Fixed Asset List page is displayed.

  2. Click the desired Asset Code hyperlink to edit the Fixed Asset configuration. Do the changes as per requirement and click Save to save the latest changes.

    Note

    Configured Fixed Assets in the In Transit status cannot be edited or modified.

Export

Export records of the current list page or records of all the pages by clicking icon

Once you clickicon, the following options are displayed. Click Export Current Page to export the data displayed on the current page. Click Export All to export data of all the configured Asset Types.

Bulk Import

Bulk Import feature allows you to efficiently add multiple assets to the system at once, saving time and reducing manual entry errors.

Upload File

This feature enables users to efficiently upload or update large sets of records in Excel or CSV format, eliminating the need for manual data entry and streamlining the process. To ensure accuracy and avoid errors, download the template and enter your data in the correct format before uploading.

  1. General

    General consists of following fields:

    The following table provides details about fields:

    Field

    Description

    Tenant

    Select the required Tenant from the drop-down.

    Form Type *

    Choose the form type from Main, Sub and Popover form.

    Download Template as *

    Choose the option from Excel and CSV.

  1. Upload Data

    Choose a file from your device to import your data. Excel or .csv file types up to 20 MB are supported.

    Click Upload File. Upload the desired file and click Submit.

Bulk Update

Bulk Update feature allows you to update multiple records at once, saving time and effort. Steps are as follows:

  1. Selecting Multiple Records:

    On the list screen, you can select several asset records that need update. This can be done by either selecting asset records individually or using the "Select All" option for larger groups.

  2. Choosing Attributes to Update:

    Once the records are selected, you'll be prompted to choose the specific attributes or fields you want to modify. This can include fields like Serial Number, Model, Make, RAM Size, Manufacturer, etc.

  3. Updating in One Go:

    After selecting the attributes, you can apply the updates across all the selected records at once. This ensures consistent changes and reduces the need to manually update each record one by one.

To execute bulk update, perform the following steps:

  1. On the asset list page, select the asset records that requires modification or updates.
    Click the Bulk Update option (which is highlighted with number of selected asset records) to perform the update action.

  2. On the Bulk Update pop-up, select the Tenant and Field along with their Values which needs to be updated as shown below.
    You can add multiple conditions by using “+” icon.
    Click Apply to complete update action.

  3. You can view the previous history of bulk updates through View History option.
