Notifications

Under this tab, you can configure the notifications for the business rule. You can create a new notification template or use the existing notification template to send a notification to users.

Out of the Box Notifications 

Out of the box notifications are notifications that are included in the default notification settings for a device or app. These notifications may include new messages, updates, or alerts. 

You can configure the following notification types(mediums):

  • E-mail Notification
  • SMS Notification

E- Mail Notification

Email notifications are a way to keep the recipients updated on the progress of your projects through emails. You can choose an email template and set rules to receive email notifications for events as shown in the below infographic. 

To create an Email Notification, perform the following steps: 

1. Under the Actions menu, click Add Notification

2. Enter a Name, select the Notification Medium as Email and select a Pre-defined Notification Template from the dropdown.

3. Select Email > Under the Recipient Section, in the To dropdown search and select the Type of users to be notified.

Recipients 

Understanding and using the recipient section appropriately helps in effectively notifying the stakeholders. The recipient is divided mainly into three sections which are displayed based on the selected medium:

To - The "To" field is used to specify the primary recipients of the notification. These are the individuals or groups that the sender expects to read and respond. Include the main recipients who are directly involved or expected to take action.

Cc - The "CC" field is used to include additional recipients who may be interested in the notification content. CC recipients are not the main addressees but are still receiving a copy for information. Inform others or keep them in the loop without making them the primary audience.

Bcc - The "BCC" field is used to include recipients whose identities should remain hidden from other recipients. This can be useful when the sender wants to protect the privacy of certain individuals without revealing everyone's email addresses.

You can add the type of recipient based on their groups. The types of recipients are explained in the following table:

Type of RecipientDescription
UsersType the name of the user you want to add as a recipient and select the name searched name from the result section. All the active users add in the application are displayed in this type of recipient. This recipient is selected, by default.

Click usernames to display in the To section of the notification.
Click (X) to delete the username from the recipient list.
Static GroupAll the users configured in the Static Group created are displayed in this section based on the selected Application and Module.  
User Attribute GroupAll the users configured in the User Attribute Group created are displayed in this section based on the attributes. 
Record Attribute GroupAll the users configured in the Record Attribute Groups based on the specific transaction table and module are displayed in this list.
ApproversIn the "Approver" recipient type, you have the option to choose the Current Approver from the provided list. This action triggers a notification to the current approver. 
By RolesYou can select to search the user based on their roles. The listed fields are displayed as below.
  • Created by
  • Requestor
  • Updated by
  • Analyst(s) of Tenant 
Admin TableYou can select the recipient based on the Admin Table.

4. Click Save. Notification Summary is displayed.

5. Click Next to Publish. 

SMS Notification

You can also create SMS Notifications by selecting the SMS option under Medium.

To Create a SMS notification, perform the following steps: 

1. Under the Actions menu, click Add Notification.

2. Enter a Nameselect the Notification Medium as SMS and select a Pre-defined Notification Template from the dropdown.

3. You can see the notification preview of selected mediums by clicking the click here button. 

Click the close buttonto close the Preview.

4. In the Recipients section, select the Type of recipients in the To field and select the users to be notified. > Click Save.

 You can add recipients that are grouped by Roles. Some of the Roles are defined as described in the below table.

UsersSearch by User.
Static GroupSearch by a Static Group that have a fixed set of users, and the group members would need to be added or removed manually.
User Attribute GroupSearch by an attribute group which is a collection/group of people with related attributes. 
Record Attribute GroupSearch by Record Attribute Group that includes attributes such as customer name, address, phone number, and email.
ApproversApprovers refers to individuals or entities responsible for reviewing and approving certain actions, requests, or decisions within an organization or a specific process.
By RolesSearching and retrieve information based on specific roles assigned to users within a system or application. 
Admin TableAdmin Table refers to a table within a database that stores information related to administrative roles or settings. 

5. A detailed summary of the configured SMS notification will be displayed.

Template NameShows the name of the Notification Template selected.
MediumNotification Medium selected.
ToDisplays the Recipients.
Email SubjectSubject of the notification.
Send NotificationSelect First Time if you would like the notification to be sent only the first time the rule is executed.
Select Every Time if you would like the notification to be sent every time the rule is executed. 
Edit Click the edit button to make changes to the notification configuration.
Delete Click the delete button to delete the notification configuration. 

6. Click Next. A summary of the Business Rule Created will be displayed along with the options to Publish

Field
Description
PublishedSelect Published to publish the Business Rule for the selected Tenant. 
MaintenanceIf the Business Rule is not yet ready to be published or inactive then select Maintenance. 
RetiredIf this Business Rule is no longer required to be in the system, then select Retired. 

7. Select the Status of the Business rule and Click Update. A message stating "Business Rule updated successfullywill be displayed.
