Asset Usage Type refers to categorizing assets based on how they are utilized within an organization. It is used to define whether the allocated asset will be used as Primary, Secondary, Back Up, Reserved, or Shared Type. This can be defined for all Fixed Assets. This option is used during the asset allocation process.

Solution

Nova Manufacturing is a company that specializes in producing electronic devices. They have a wide range of fixed assets scattered across their production facility, including machinery, maintenance equipment, office equipment, facilities infrastructure, and safety and security equipment.

However, they are facing challenges in managing and optimizing the usage of these assets efficiently.

To address this issue, Sandra can configure the usage type of each asset using Asset Usage Type configuration.

She can define different usage types for each asset such as Standby, Temporary, Project, Testing etc for the particular Department.

By doing this configuration, Nova Manufacturing can effectively manage its fixed assets, optimize resource allocation and streamline maintenance processes.

Configure Asset Usage Type

To configure Asset Usage Type, perform the following steps:

  1. Navigate to Design Studio > Asset Management Module > Configurations > Asset Masters > Asset Usage Type. The Asset Usage Type List page is displayed with configured records.

  2. Click New to create a new Asset Usage Type configuration.

  3. On the new configuration page, enter all the required details as shown below. For more information on fields, refer Field Description.

Field Description

This table contains the list of fields and their descriptions that are available under Asset Usage Type page:

Description

Tenant

Select the Tenant for which you wish to configure the Asset Usage type.

Usage Type

Type in the Asset Usage Type. It depicts the purpose of the asset as to where and how it is used.

Let’s check out the examples of Asset Usage Type!

  1. Primary: A main asset that is allocated to the user.

  2. Secondary: Supplementary or supportive asset allocate to the user.

  3. None: No specific asset usage type.

Unique Validation Type

This is a unique value for each asset which is used to validate against selected pointer from the drop-down list. Based on the selection, the application validates the selected asset usage type.

Let’s check the available options:

  1. By Category: When 'By Category' is selected, the application ensures that no asset of the same category is allocated, accepted, or updated for the selected Tenant.
    Example: If the Asset Usage Type is 'Primary Asset' and the Tenant is 'IT', the system checks that the asset being processed is not already marked as a primary asset within the same category and tenant.

  2. By User Across Tenants: When 'By User Across Tenants' is selected, the application checks that an asset with the same Asset Usage Type is not already assigned to any tenant accessible by the respective End User.
    Example: If the Asset Usage Type is 'Primary Asset' and the Tenant is 'IT', the system verifies that the asset being processed is not already marked as a primary asset for any tenant accessible to the End User.

  3. By User within a Tenant: When 'By User within a Tenant' is selected, the application ensures that an asset with the same Asset Usage Type is not already configured within the chosen Tenant.

    Example: If the Asset Usage Type is 'Primary Asset' and the Tenant is 'IT', the system checks that the asset being processed is not already designated as a primary asset within the IT tenant."

    4.    None: If 'None' is selected, the application does not perform any validation on the asset usage type during allocation, acceptance, or updating of the asset.

Active

Indicates the status set for Tenant configuration.

If selected, the Asset Usage Type configuration becomes active.

If not selected, Asset Usage Type configuration becomes inactive.

Is Remarks Mandatory?

If selected, the Remarks field becomes mandatory while allocating, accepting, and/or updating the asset.
