Software Asset refers to any software application, program, or system that is utilized within an organization to support its operations, productivity, or services. Managing software assets involves tracking, controlling, and optimizing the usage of software throughout its lifecycle to ensure compliance, security, and cost-effectiveness.
ITAM Analyst can add Software (Licenses) to the inventory for easy tracking and maintenance. This ensures that all Licenses are managed throughout their lifecycle, maximizing their usefulness and efficiency.
Use Case User Persona: ITAM Analyst | Solution |
NovaTech utilizes various software applications to support different functions such as accounting, inventory management, production planning, and customer relationship management. They face a few challenges like navigating through complex software licensing terms, managing costs and ensuring robust security. | Ira at ACME IT Solutions is responsible for maintaining an accurate inventory of all Software. As part of her duties, she needs to add new Software (Licenses) to the asset inventory system. She can add the Software (Licenses) to the asset inventory through the License Inventory-SW option. Further, she can update all the necessary details such as Tenant, Store, Publisher, License Name, Model, Type, and other financial details such as Purchase Quantity, License Cost, License Key, etc. |
Configure Licenses
To configure or create a new Software License, perform the following steps:
- Navigate to Asset Management > Software (SW) > License Inventory - SW. The License Inventory-SW List page is displayed with all the configured Licenses.
Click New to configure a new License.

Field Description
This table contains the list of fields and their descriptions that are available under the new License Inventory - SW Details page:

Tenant * | Select the required Tenant from the list. This is a mandatory field. |
Store * | Select the required store from the list. This is a mandatory field. For more information on Asset Locations (Store and Floor), refer to AM Location Master - Overview. |
Publisher | Select the required Publisher from the drop-down. |
License Name | Select the Software License Name from the drop-down. |
License Model | Select the License Model for the Software License that you want to add. Choose the License Model from available options: Core Based, Device Based, Processor Based, and User Based. |
License Type | Choose the Software License Type form available options: Client Provided, Open License, and Subscription. |
Customer | Select the required Customer from the list. This is an optional field. |
Finance | |
SKU Number | Enter the SKU Number of the Software License. SKU Number helps in tracking the software purchase. |
Purchase Date | Select the Date of Purchase of the Software License from the calendar. |
Purchase Quantity | Enter the number of Software Licenses purchased. |
License Cost | Enter the License purchase cost. |
Currency | Select the Currency Unit: USD, INR, or EURO. |
License Key | Specify the Software License Key. |
License Expiry Date | Select the License Expiry Date from calendar. |
Add | Click Add to include multiple licenses within the same screen. Upon clicking Add, the details are captured and displayed in the List section below. Note The Total, Allocated and Inactive Quantity fields under the Quantity Information tab will initially display as 0. These quantities are updated automatically whenever a new asset (Software/License) is added to the system. |

Link | Select the Link option to link any Contracts, Software, and Service Requests to the Software License(s). |
Timeline | This field displays a chronological sequence of events or actions related to an asset, purchase order, ticket, or any other relevant entity being changed in this configuration. It also indicates the user responsible for the changes, along with the corresponding date and time. Note This information appears once any changes/updates are made to an already saved configuration. |
Copy the resolution
After saving the configuration, it will promptly appear on the License Inventory - SW List page. Return to the License Inventory - SW List to review the most recent configuration record.
