View Contract

ITAM analysts are crucial in managing contracts. They can quickly access information about contract numbers, status, and details of each contract. The list page includes features such as filters, sorting options, export, and search functionality to customize the list page as per specific preferences.

View logged Contracts

To view the logged contracts, perform the following steps.

  1. Navigate to Asset Management.

  2. Navigate to the left menu by hovering the mouse to the left of the screen.

  3. Click Asset Management > Contracts > Manage Contracts to view the list of contracts created.

  4. Click and open the Contract ID that you wish to view or update. The contract ID details page is displayed.

  5. View, edit, and update information on the details page.

  6. Click Save to save the edited details for the contract.

  7. Click Cancel if you do not wish to save the changes made.

  8. Click Reset if you wish to reset the contract form.

Status of Contract

Click on the dropdown to change the status of the Contract as the progress of the Contract.

The different options present in the Status dropdown are:

  • Approved - The contract status becomes approved once it receives the necessary approvals from the contract's designated approvers.

  • Under Review - The contract status remains under review when the designated approvers have not yet reviewed it.

  • Pending Approval - The contract status remains pending approval when the designated approvers have not yet approved it.

  • Draft - The contract status remains as a draft when it is newly created and has not yet been submitted for approval.

  • Active - The contract status is active after it has been reviewed and approved.

  • Expired - The contract status is considered expired if it has not been renewed and the termination date has passed.

  • Cancelled - The contract status is in cancelled status if it is no longer valid.

  • Renewal Pending - The contract status is renewal pending if it has to be renewed and extend.

  • Terminated - The contract status is terminated if the contract has reached its end date.

  • Archived - The contract status is archived if the contracted has reached its end date and is no longer needed.

Contract History

Click the Contract History icon to view the change history associated with the contract.

The audit logs screen appears as below.

Change History

View the complete record or log of all the changes made to the contract throughout its lifecycle by clicking on the Change History tab. View the Change History in Timeline View or Tabular View.

Click on the date ribbon to expand it and view the complete details of the changes made to the contract.

After clicking the date ribbon, the following screen displays all the changes made to the contract history and on which date and time.

Click the name of the person who made the change. Further details regarding the change history like Status changes, Message are displayed.

Export the details about Change History by clicking icon.

Access History

It presents access details and history in reverse chronological order.

Click on each date log to expand and view the details of who accessed the contract and the corresponding date and time.

Workflow History

View the entire history and progress of the Workflow associated with the contract in the Workflow History tab. Workflow History refers to a log or record of actions and events that have taken place during a workflow or business process.

Click on the individual log to expand and view the complete details of Workflow.

Click icon to view the associated Workflow. The below screenshot displays a sample workflow.

Link History

Link History is a record or log of the association that the contract has with other records or any relevant information within the ITSM system. It helps track the history of connections between the contracts and other records, providing a comprehensive view of its lifecycle and interactions.

Link History tab further has different tabs for different records that are linked to the contract. Click the individual tab to view details of the ticket which is linked to the contract.

Click the record ID to open the details of the record in a different tab.

BR History

View the list of Business Rules triggered and satisfied for the contract under the BR History tab. It also provides a log of the Business Rules triggered with details.

Click the date ribbon to expand and view the Business Rule in detail.

Click Rule(s) Processed to view the Business Rules which are processed, and which are not processed. The following pop-up window opens displaying the details of the Business Rules.

Click Conditions satisfied tab to view the Business Rules which are triggered and satisfied for this contract. The number mentioned within the parentheses specifies the number of Business Rules which are satisfied.

Click the dropdown caret icon to expand the Business Rule.

When you hover-over the Business Rule, it will display a tooltip displaying the name of the Business Rule. Click the Business Rule to view the configured Business Rule in a new window.

Click Conditions not Satisfied tab to view the Business Rules which are not triggered and not satisfied for this contract. The number mentioned in parentheses specifies the number of Business Rules which are not satisfied.

Click  icon to expand the Business Rule. When you hover-over the Business Rule, it will display a tooltip with the name of the Business Rule. Click the Business Rule to view the configured Business Rule in a new window. The search function is available for BR History logs using keywords as shown below.
