A Closure Code in a Work Order refers to a predefined code or label used to indicate the reason for closing the Work Order. When a particular Work Order is completed, resolved, or no longer required, the user selects an appropriate closure code from a predefined list to signify the reason for closing the work item.

Novatech's IT department struggles with unclear reasons for Work Order closure. The IT department must categorize and document the reasons for closing work orders to enhance clarity and reporting.

Sandra an Application Administrator logs in to the application, navigates to WO Masters then selects Closure Code. Creates a new Resolution Code from the List page using the New button. Then she selects the appropriate Tenant from the dropdown field. Enters "Resolved" in the WO Resolution Code field and describes as " Issue has been successfully resolved.". Sets the Sort Order of the Resolution Code to 1 to prioritize the Work Order on the List page. Enables Active option to make it available within the application.

Configure Closure Code

Closure Codes provide a standardized way to categorize and document the outcomes of Work Orders. Standardization ensures consistency and uniformity in data entry, making analyzing and reporting on the data easier.

To configure a Closure Code, perform the following steps:

  1.  Log in to the Apex application.

  2.  Navigate to Design Studio > Service Management > Work Order > Configurations > WO Masters > Resolution Code.

  3. Click New to configure Closure Code.

  4. Select and enter appropriate values for the mandatory fields.

  5. Enter the appropriate details in the required fields.

    Refer to the following table for Field Description:

     Field

    Tenant

    Select Tenant from the field dropdown.

    WO Closure Code

    Enter Closure Code for Work Order.

    Note

    Hover on the info icon to view the information message about the field. The message is as follows:

    "Standardized codes are used to identify the reason why a work order was closed, facilitating better reporting, analysis, and decision-making for IT Teams."

    Description

    Enter the description about the Closure Code.

    Sort Order

    Specify a value to set the sort order for the Closure Code.

    Note

    The Sort Order field accepts values from 0 to 999. The Closure Code is executed alphabetically on the pages irrespective of the number of Closure Codes that are configured with the same Sort Order or without any sort order.

    Example:

    • If Closure Code 1 (Resolved) is configured with Sort Order value 1.

    • Closure Code 2 (Auto Closed) is configured with Sort Order value 2.

    Closure Code 1 (Resolved) is placed on top of Closure Code 2 (Auto Closed) across all the pages.

    Active

    Enable Active control, it indicates that the Closure Code is Active across all the pages wherever it is used. By default, this is inactive.

    Default

    Enable Default control, it indicates that the Closure Code is set as Default and this value will be considered as Default value when used. By default, this value is set to non-default.

  6. Click Save.
    Configured Closure Code is displayed on the list page.
