Configure Conference Call

For Major Incidents, the Administrators can configure the Conference Calls that need to be initiated to discuss about the Major Incidents and arrive at a solution on a fast track. The Conference Calls can be configured for Twilio, WebEx and Microsoft Teams.

By default, the Conference Call - Twilio page is displayed when you click Conference Call (Admin > Notifications > Conference Call). Use Filters option to choose the Conference Bridge TypeTwilio or WebEx or Microsoft Teams

Prerequisites

To configure the Conference Call for Major Incidents, the following checkboxes should be enabled on the Department page: Enable Major Incident Option, Enable Conference Call, and Active. For more information about Department configurations.

Configuring Conference Call - Twilio

To configure Conference Call (Twilio), perform the following steps:

  1. Navigate to Admin > Notifications > General > Conference Call > Select Conference Bridge Type as Twilio on the Filters pop-up page.

  2. On the right action panel of the CONFERENCE  CALL - TWILIO page, click Add New.

  3. On the right action panel of the Conference Call - Twilio page, select the Department.

  4. Specify the required information in the Details section and click Submit. For more information about the fields on the CONFERENCE  CALL - TWILIO page.

Field Description

The following table describes the fields on the CONFERENCE  CALL - TWILIO page:

Conference Bridge Type

Select the Conference Bridge Type from the list.

Bridge Name

Specify the Conference Bridge name.

Bridge Number

Specify the Bridge Number.

Conference Joining Message

Specify the joining message that you want to communicate upon joining the Conference Call.

Validation Message

Specify the validation message that you want to communicate, when a participant wants to join an outdated Conference.

Is Default?

If selected, the configuration becomes default.

Active

If selected, the configuration becomes Active.

Show List
 
 
Click Show List to view the list of properties added.

Filters

Click Filter to select the Conference Bridge type and specify the required values to filter the Conference Call configuration list.

Master Configuration

Click Master Configuration to set the Master Configuration before you configure any Conference Call. If the Master Configuration is set, the icon is highlighted in green color. If not configured, the icon is highlighted in amber.

Add New

Click Add New to add a new Conference Call configuration.

Configuring Conference Call - WebEx

To configure Conference Call (WebEx):

  1. Navigate to Admin > Notifications > Conference Call > Select the Filters > Conference Bridge type as WebEx.

  2. On the right action panel of the Conference Call - WebEx page, click Add New.

  1. On the CONFERENCE CALL - WEBEX page, select the Department.

  2. Specify the required information in the Details section and click Submit. For more information about the fields on the Conference Call - WebEx page, refer Field Description.

Site Name

Specify the Site Name.

User Name

Specify the User Name.

Password

Specify the Password.

Active

If selected, the configuration becomes Active.

Show List

Click Show List to view details of the WebEx user.

Filters

Click Filters to select the Conference Bridge type and specify the required values to filter the Conference Call configuration list.

Add New

Click Add New to add a new Conference Call configuration.

The Administrators can configure the WebEx Meeting Duration and WebEx Schedule Interval at the back end.

  • WebEx Meeting Duration: This sets the time duration for which the WebEx Meeting URL is active. After the configured time is elapsed, the WebEX Meeting URL gets deleted. However, if the WebEx Meeting continues for more than the configured time, the WebEx URL continues to be active and gets deleted after the Meeting ends.

  • WebEx Schedule Interval: This sets the time interval between two consecutive WebEx meetings scheduled for the same WebEx User.

Configuring Conference Call - Microsoft Teams

Configuring a conference call with Microsoft Teams enables effective connection and communication with stakeholders, allowing you to work in a collaborative environment. In the following section, we will enable and configure MS Teams as a conference call.

Note

The admin performing integration between MS Teams and Summit App must have admin privileges for MS Teams to manage and control app access at the organization-wide level.

To configure Conference Call (Microsoft Teams), perform the following steps:

  1. Navigate to Admin > Notifications > Conference Call. 
    The Conference Call - Twilio page is displayed.

  2. Select the required Department > Click Filters from the right action panel panel > select Conference Bridge type as Microsoft Teams > Click Submit.
    The Conference Call - Microsoft Teams List page is displayed.

  3. Click Add New from the right action panel.
    The Conference Call - Microsoft Teams Details page is displayed.
     

  4. Specify the required information in the Details section and click Submit.

Type in the name for the configuration

Graph URL

Enter the Graph URL to connect Microsoft Teams with external resources and services, enabling access to data and functionalities through Microsoft Graph API.

Example: The Graph URL is the gateway for authorized individuals (applications or users) to access and interact with Microsoft Teams' services and data.

Tenant ID 

Enter the Tenant ID to accurately pinpoint the organization or tenant in the Microsoft Teams environment, ensuring that settings are correctly directed to the intended entity.
 
Analogy: Office Building's Address
 
Example: The Tenant ID functions as the address for your organization, ensuring that the application connects to the right place.

Client ID

Enter the Client ID to verify user or team identity and restrict access to authorized individuals for configuring conference call settings.

Analogy: Employee ID Card
 
Example: The Client ID is like an application's ID card, ensuring it's authorized to access Microsoft Teams, just as employees need ID cards to enter the office.

Secret Key

Enter the secret key to establish identity verification and confirm the required permissions for access.

Analogy: PIN or Passcode
 
Example: The Secret Key is similar to a private PIN, verifying the application's authenticity and allowing access to Microsoft Teams' resources, kept confidential like a personal PIN.

User Name

Enter the username linked to the Microsoft account utilized in establishing the account on the Microsoft website at the time of procuring the subscription license for Microsoft Teams.

Password

Enter the password of the username configured during the creation of the Microsoft account for the subscription license of Microsoft Teams.

 

Is Default?

If selected, the configuration becomes Active.

If selected, the meeting details will be captured
