Rule configuration enables users to establish detailed notification rules based on specific events like License Usage and License Expiry. Users define each rule with a unique Rule Name and Description, default gateway rule is configured with SMTP or SendGrid from Apex. The Notification Type categorizes alerts, directing them to designated recipients listed in the To and Cc fields.

What’s New?

Rules use the SMTP gateway configured in the Apex application. Since it is application level notification configuration it uses General Configuration Type and this can be based on Send Grid.

If the details are not present in the General Configuration Type then SMTP details is taken from the web.config file

Configure Rules

To configure a new rule, perform the following steps:

  1. Navigate to SA > Configuration > Notifications > Rules.

  2. Click on the add icon + to configure a new rule in the right action panel of the Rules list page.

    For the list page details refer to the following:

    Column Name

    Description

    Rule Name

    Displays the unique name of the rule. This is typically a clickable link that navigates to the rule details page, where the rule configuration can be viewed or edited.

    Description

    Provides a brief explanation of the rule’s purpose or logic. This helps users understand what the rule does at a glance.

    Notification Type

    Indicates the type of notification associated with the rule, such as License Usage or License Expiry. This defines the scenario under which the rule is triggered.

    Active

    Shows whether the rule is currently enabled.

    • True – The rule is active and will be evaluated/executed.

    • False – The rule is inactive and will not trigger notifications.

    Created By

    Displays the name or identifier of the user who created the rule. This supports auditing and ownership tracking.

    Last Updated By

    Identifies the user who most recently modified the rule configuration.

    Last Updated Date

    Shows the date and time when the rule was last updated, helping users track recent changes and maintenance activity.

  3. Enter the required details as shown below and click Submit.

Rule Name *

Enter a unique and descriptive name for the notification rule.
Example: License Expiry Notification, Critical Error Alert, Daily Usage Summary etc.

Description

Provide a brief explanation of the notification rule.

Active

Use this toggle to enable or disable the notification rule.

Notification Type *

Select the type of notification that this rule will apply to. This categorizes the rule based on specific events or conditions. Options include:
License Expiry: Triggers notifications when a software license is approaching its end date.
License Usage: Triggers notifications based on the usage levels (Purchased and Consumed counts) of software licenses, such as when usage reaches a specified threshold.

Notification Trigger Options *

The trigger options are dependent on the type of notification selected. Let’s check the two available options: For more information, refer to License Usage Notification Thresholds.

License Expiry

When set to License Expiry, the system triggers alerts based on how close the license is to its expiration date. This option works identically to the behavior in the Execution‑based License Model. Displays the available reminder intervals that determine when expiry notifications should be sent. Users can select one or more trigger options from the list options.

License Usage

Users can choose one or more license‑usage thresholds—50%, 75%, 90%, and 100%—for receiving alerts. Users can also specify the recipients (To and Cc) who should receive the notifications for 100% threshold level as well.

To

Enter the email addresses of the primary recipients who should receive the notifications.

Note

Type to search and select a group or email from the system or enter a custom email address. You can add multiple entires.

Cc

Enter the email addresses of the secondary recipients who should receive a copy of the notifications. Separate multiple email addresses with commas.

  1. The saved rule will be displayed on the Rules List page.

Note

To modify rule details, click the Rule Name hyperlink. This will open the Edit Rule page, where you can make the necessary changes.

Following are the rules on the rules list page:

Description

Filters

Opens the filter panel, allowing users to refine the rules list based on criteria such as Rule Name, Notification Type, or Active status. This helps quickly locate specific rules in large lists.

Configure Columns

Allows users to customize the Rules list view by selecting which columns to display or hide. This enables a personalized table layout based on user preferences or role requirements.

Add New

Navigates to the Create Rule page, where users can define a new rule by specifying details such as rule name, notification type, conditions, and activation status.

Show List

Navigates the user back to the Rules List page, displaying all configured rules. This action allows users to exit the create or edit rule screen and return to the list view without saving any unsaved changes.
