Access Prompt-to-Report

You can access Prompt-to-Report from the Modules page. Selecting this option opens the Prompt-to-Report interface, where the you can describe the required report using natural language.

Before You Begin

Verify the following before accessing Prompt-to-Report:

  • User Role & Permissions: You must have Administrator, Analyst, or Report Manager role with appropriate data access permissions.

  • System Access: You have access to the Report module enabled.

  • Network Connectivity: Stable internet connection to ensure proper AI processing and feature responsiveness.

  • Browser Compatibility: Use a supported modern browser (see Supported Browsers section).

Access Prompt-to-Report from Reports

To access the Prompt to Report from report, perform the following steps:

  1. Navigate to the ITSM/ITAM > Reports.
    The Modules page is displayed.

  2. Click from right-hand side of the Modules page.
    The Prompt to Report interface is displayed.

  3. Enter Report Requirement. In the text input field labeled "Ask a question about your data," enter your report requirement using natural language.

    For example: "Show me all high-priority incidents created in the last 30 days by assigned team"

  4. Submit the request by clicking to submit your prompt to the AI interpreter.
    The AI processing panel displays the progress of the report-generation workflow,

    Note

    The green check marks on the AI processing panel indicate successfully completed steps. Once all processing steps are completed successfully, the AI proceeds to the next stage and displays the generated results for the user to review.

  5. The requested report list is displayed in the Prompt to Report Chat Panel. Click the report or dashboard link to view in the Preview section.

Using the Prompt to Report Interface

The interface has two main sections:

Left Panel - Conversation Area:

Displays welcome messages and ongoing AI-user dialogue. Shows clarifying questions the AI may ask to better understand your requirement. Provides suggested quick-access links like "Provide top 5 critical records," "Show monthly ticket volume by asset," and "Find my recent dashboard."

Right Panel - Preview Area:

Displays "Nothing to show yet" until you submit a prompt. Once processed, shows the AI's interpretation of your requirement.

Writing Effective Natural Language Prompts

To get the best results from Prompt-to-Report, follow these guidelines:

Be Specific:
Instead of: "Show me incidents"
Use: "Show me high-priority incidents assigned to the Network team created in the last 7 days."

Include Metrics:
Specify what you want to measure (count, average, sum, percentage)

Add Filters & Conditions:
Include date ranges, status values, assignment criteria, or other relevant filters.

Clarify Grouping:
If grouping is needed, specify: "grouped by assigned team," "broken down by priority," etc.

Request Specific Visualizations:
Mention preferred chart types: "Show as a bar chart," "Create a pie chart," "Display in a table with trends."

Interpreting AI Suggestions

After submitting your prompt, the AI will respond in one of the following ways:

Suggests Existing Reports:
If matching reports already exist, the AI displays them as clickable links.
You can click to open the report immediately or proceed to create a new customized version.

Asks Clarifying Questions:
If your requirement is ambiguous, the AI asks targeted questions to narrow down the requirement.
Answer these questions to help the AI generate a more accurate report.

Shows Your Interpreted Requirement:
The AI displays its understanding of your request (example, "I'll show incident count grouped by status").
Confirm this interpretation or refine it by entering additional details.
