Workflow based License Model

User Persona: Admin

License is applied in the Apex application and automatically synced to Service Automation. Users can view license details (license type, counts, usage %, etc.) from the Service Automation License tab. The system validates workflow creation based on available license count and displays warnings or restricts workflow creation when limits are reached.

  • Automated License Sync: Eliminates manual license key handling by syncing license data directly from Apex to Service Automation, reducing admin effort and errors.

  • Real‑Time License Validation: Provides instant alerts and workflow creation restrictions based on license usage, preventing over‑consumption and ensuring smooth system operation.

Enhanced Backend Automation Using ELS & Execution Service

User Persona: Admin

ELS (Event Listener Service) and Execution Service operate as backend Windows services that automate workflow handling in the Apex Application. ELS captures workflow‑triggering events from RabbitMQ, identifies the configured workflow for the selected Catalog, and stores workflow metadata in the database. Execution Service then executes the workflow when the Service Request meets all licensing conditions—ensuring that workflows do not run if licenses are expired or overutilized.

  • Reliable Workflow Data Synchronization: ELS ensures that workflow details are accurately captured and stored, enabling users to view workflow linkage on the Service Request instantly.

  • Controlled and License‑Compliant Execution: Execution Service enforces license rules by blocking workflow execution when licenses are expired or fully consumed, preventing unauthorized automation and ensuring compliance.

Configurable Notification Rules for License Usage - 100% License Usage Notification Threshold

User Persona: Admin

Users can now select the 100% usage threshold when configuring License Usage notifications. This enhancement allows administrators to define alerts that trigger precisely when license consumption reaches full utilization and specify recipients in the To field who will receive these 100%‑threshold notifications.

  • Immediate Full‑Utilization Alerts: Ensures stakeholders are notified exactly when licenses reach 100% usage, preventing automation failures due to license exhaustion.

  • Targeted Recipient Control: Admins can directly assign user IDs or email addresses in the To field, ensuring critical alerts reach the right individuals without manual forwarding.
